How to Schedule Roofing Estimates From an Inbound Call

A requested time is not a booked estimate. Define what can be scheduled, where, by whom and with what confirmation.

Direct booking can shorten the path from inquiry to appointment, but only when the calendar reflects the company’s real service area, drive time, job types and capacity.

Define appointment types first

Do not place every caller into the same slot. A residential replacement estimate, repair evaluation, storm inspection, emergency tarp request and commercial roof review may require different durations, staff and approval.

  • Appointment duration and travel buffers
  • Which estimator or team handles each job type
  • Minimum notice and same-day limits
  • Daily and weekly capacity
  • Times unavailable for meetings, weather or field work
  • Rescheduling, cancellation and no-show process

Confirm what was actually booked

A confirmation should state the roofing company, property address, appointment type, date and time, who will contact the homeowner, and how to change the appointment. Never label a preferred time as confirmed until the calendar accepts it.

Carry context into the calendar

The estimator should receive the caller’s name, property, project type, reported urgency, lead source and useful notes. Avoid putting sensitive information into calendar fields that do not need it.

  1. Confirm the property is in your service area and the requested work fits.
  2. Check job type, estimator availability and travel buffer.
  3. Offer an actual open slot; if none is available, record a callback request.
  4. Record the homeowner's acceptance and calendar confirmation.
  5. Assign an owner for reschedules, cancellations and unanswered questions.
  6. Reconcile attendance and final disposition with the same opportunity record.

For example, “Tuesday afternoon works for me” is a preference. Count a confirmed inspection only after your booking system or team accepts the appointment. Report requested, confirmed, attended and canceled inspections separately.
