Build one ownership rule

Every inbound opportunity needs an accountable next owner. Automation may acknowledge and qualify the caller, but the company must decide who receives urgent issues, exceptions, estimate requests and conversations that require a person.

Measure by source and time window

  • Business-hours versus after-hours inquiries
  • Calls versus forms and other channels
  • Paid, organic, referral and repeat-customer sources
  • Normal weeks versus storm-related surges
  • Initial response, two-way contact and appointment time

A single blended average can hide the exact shift, source or route causing the delay. Review the distribution and the unresolved exceptions, not only one headline number.

  2. Find periods when the queue has no coverage.
